How to calculate time card hours and pay
- Choose your reporting dates. Confirm the workplace time zone and your employer's overtime workweek start.
- Enter each shift's start and finish. Check AM/PM in 12-hour view. Overnight finishes show Next day; use Change finish day to correct it. Use More to add another shift.
- Enter unpaid off-duty breaks. Keep paid rest breaks in your hours.
- Add your hourly rate if you want gross pay. Select the federal estimate only if its simple, constant-rate setup fits your situation.
- Review missing information, confirm completed workweeks and save or export your time card.
Ordinary shift example
8:00 AM to 4:00 PM is eight hours. Subtract a 30-minute unpaid off-duty meal period.
7 h 30 min = 7.50 decimal hours
At $20 per hour, the estimate is $150 gross pay, before tax and deductions.
Weekly and biweekly time cards
Choose Weekly for seven days or Biweekly for a two-week time card. Monthly and custom date ranges are also available. Leave days off blank. The hours total covers your chosen period, while federal overtime is calculated for each employer workweek separately.
Estimate federal overtime pay
For covered, nonexempt employees under the general federal rule, hours worked over 40 in a workweek receive at least 1.5 times the regular rate. Each workweek is calculated separately. A biweekly pay period does not let you average two weeks together. Read the Department of Labor overtime fact sheet.
This calculator's federal mode supports one ordinary hourly job with one constant regular rate. It does not determine whether you are covered or exempt, or calculate regular rates that include bonuses, commissions, tips, mixed rates or shift differentials. If these apply, use hours-only output or seek a calculation that covers your arrangement.
Complete workweek example
46 worked hours at a $20 regular rate:
40 × $20 = $800 regular pay
6 × $30 = $180 overtime pay
Estimated gross pay: $980
For 45 hours in week one and 35 in week two, the same setup gives $950 + $700 = $1,650. It is not 80 hours at the regular rate.
State rules are not included
The federal estimate is not a complete state or local payroll calculation. Selecting a state does not add state rules. Daily overtime, double time, meal or rest penalties and special employment rules are outside this version. In California, for example, a federal-only estimate can omit additional overtime requirements. See California's official overtime guidance.
Custom weekly settings provide a separate estimate using your entered threshold and premium. Choose by shift lets you enter standard, time-and-a-half, double-time or custom agreed rates, including a split within one shift. Those multipliers are total rates applied once to each worked minute. Neither option determines a federal or state entitlement, calculates premium credits or combines different basic job rates.
Get the hours and breaks right
Decimal hours represent fractions of an hour
Thirty minutes is 0.50 hours, not 0.30. Divide minutes by 60: 15 minutes is 0.25 and 45 minutes is 0.75. The tool calculates from the underlying minutes; the rounded decimal display does not determine gross pay.
Calculate time cards with lunch breaks
Under federal guidance, short rest breaks of about 5–20 minutes generally count as worked time. Enter only unpaid off-duty time that should be deducted. An unpaid meal period is different from a paid rest break. Read the Department of Labor break guidance.
For a 30-minute unpaid lunch, select 30 min under Unpaid break. To record lunch punches or multiple unpaid breaks, open More and add each break's start and finish. Use the duration or timed breaks for the same unpaid time, so it is deducted once.
Your reporting dates do not reset overtime
Your employer's fixed workweek can begin on a different day or time from your pay period. A shift crossing its boundary is allocated between the relevant workweeks. The calculator may ask for context shifts outside the reporting period so overtime can be classified without guessing.
Check the finish day for overnight shifts
10:00 PM to 6:00 AM the next day is eight elapsed hours before breaks on an ordinary night. Daylight saving changes can make that duration different. Use the workplace time zone and resolve any repeated or nonexistent local times.
Download your time card for Excel or PDF
Basic pay and chosen shift rates include the whole shift on its starting date. Weekly overtime includes only hours inside your report dates, using the actual workweek boundaries.
Copy a completed shift into empty weekdays, with Undo if you need it. Existing shifts are kept. Save periods on this device, reopen them and copy a schedule into new dates. Download a CSV for Excel with shift hours, pay, rate multipliers such as 1.0×, 1.5× and 2.0×, and a total. Split shifts show the hours at each rate. Weekly overtime is labeled separately; chosen shift premiums are shown as agreed rates. Use Shift data CSV under Detailed exports for exact minutes without totals. Choose Print or save PDF to use your browser's print and PDF options. Add an optional report name and note beside the download controls. No email is required.
Exports carry the same assumptions and limitations as the on-screen result. Keep these notes with your time card so the totals have context.
Use Actions → Copy hours to UK to transfer your dates, times and breaks to the other calculator. Rates reset, and any existing draft is kept as a named copy. Check the new workplace time zone. Local saving is tied to this browser. Clearing browser data can remove it, and someone else using the browser may be able to see it. Download a backup for a separate copy and use restore when needed.
Common questions
Can I copy a shift to other weekdays?
Yes. Enter a complete shift and choose Fill empty weekdays. Hours and breaks are copied to other empty Monday-to-Friday days in your selected period. Choose by shift mode also copies the pay rates. Existing shifts are kept, and Undo reverses the copy.
Can I open my time card in Excel?
Yes. Download the CSV and open it in Excel or another spreadsheet app. It contains calculated shift results, not an Excel workbook with live formulas. Download a JSON backup to restore and edit your entries in this calculator.
Can I use military time or AM/PM?
Yes. Under Time & location, choose 24-hour time (often called military time) or 12-hour time. In 12-hour mode, check AM and PM for both ends of each shift.
Can I calculate biweekly or monthly hours?
Yes. Choose biweekly, monthly or custom dates. Federal overtime is still calculated separately for each employer workweek, with context requested if your reporting dates show only part of a week.
Why is my pay result provisional?
Weekly overtime needs the whole relevant workweek. A missing shift, an unconfirmed week or incomplete context can change the result. Complete and review the requested information before treating the estimate as final under its stated assumptions.
Does this calculate California overtime?
No. State rules are not included in this version, including California daily overtime, double time and seventh-day requirements. The federal mode stays explicitly federal-only, even when California is selected.
Does weekend work automatically earn overtime?
Weekend work alone does not trigger overtime under the general federal rule. An employment agreement may provide a weekend premium. Select Choose by shift under Overtime to estimate pay using that agreed total rate. This separate mode does not add federal overtime, calculate premium credits or determine state entitlement.
Is this my paycheck after tax?
No. The result is estimated gross pay before tax, withholding and other deductions. This calculator does not calculate US net pay or submit payroll.
Can I calculate hours without entering pay?
Yes. Leave the hourly rate blank and use your hours-and-minutes and decimal-hour totals.
